Report template

Sample drone inspection report: the document you hand to a roofer or a service company.

Below is the complete structure of an Aerfield report. Instead of an unlabelled folder of files you receive numbered observations with their exact position on the roof, photographs and a recommendation of what to check first. The document does not replace a structural expert opinion; it puts the visible damage in order so that a roofer or an electrician can plan further on-site checks.

What this document is for

The report does three things - and not one more.

Points to the exact spot

The report is built for a specific task: repairing a roof, fixing a PV fault, handing over works or a conversation with an insurer.

Keeps facts apart from opinions

Every card separates the visible defect from the conditions on the roof and the recommended step. That way the roofer or electrician gets hard material, not someone else's technical opinion.

A transparent standard

The sample document shows the actual format of the report: from the flight conditions and image markers to the list of recommendations for the contractor.

Section 1 · mission conditions sheet

Conditions first, observations second.

A thermal image with no sunlight or wind parameters has no technical value. That is why the report starts with a conditions sheet: when the material was captured, with what, and within which method thresholds. These parameters are part of the document, not small print.

When the conditions fall outside the thresholds - for example too little sunlight or too much wind - the thermal camera check is not carried out: we postpone the date or change the scope to RGB imagery. Details of the method: PV thermal imaging.

Section 2 · observation index

Four cards: the current state and a comparison over time.

Instead of an unlabelled folder of files you receive numbered observation cards. Every entry has an exact location on the building, the conditions the photograph was taken in and a recommendation for a specialist.

Status: a visible change after repair. Comparing the photographs documents the work; a roofer verifies its quality and watertightness.

Sections with no observations are a full part of the index. "Nothing to report" only has value when the report honestly states the method and the conditions under which that information was gathered.

Every card has its own frames

In the full report every entry in the index links to evidence frames: an overview and a close-up. The observation can be checked against the source material, not taken on faith.

Section 3 · the RGB/IR evidence pair

One frame, two images.

Every thermal observation in the report has a paired RGB frame from the same pass. Shading, soiling or a reflection look different in each of the images - the pair gives the expert a context a single thermogram does not carry.

PV thermal camera survey: offered to companies and partners once the method gate (G4) is passed. Conditions for delivery: sunlight ≥ 600 W/m² in the plane of the modules, wind ≤ 4 m/s, native GSD ≤ 3 cm/px. We point out observations for verification by the appropriate expert - we do not diagnose faults.

Section 4 · confidence level

Confidence stated, limits described.

Every observation gets a descriptive confidence level: high, medium or low. That is a judgement of the quality and repeatability of the observation itself in the material - never a verdict on the condition of the building.

What raises the confidence level

  • the observation repeats across several frames and directions of the pass
  • the conditions fall within the method thresholds: irradiance, wind, GSD
  • the RGB/IR pair lets the context of the frame be read
  • the location is unambiguous: string, row and module, or roof plane and element

What the confidence level does not mean

  • it is not a diagnosis of the cause or an assessment of the scale of any loss
  • it does not mean the method captured every fault on the building
  • "no observation" describes this method, these conditions and this day
  • it does not replace an expert opinion, an audit or an inspection required by law

Section 5 · the next step

The report ends with a task for an expert.

The last line of every card names who should see the observation and why. The interpretation and the technical decision stay with the appropriate specialist.

E·01

O&M service / electrician

Thermal observations on PV go to the O&M service company or a licensed electrician. They carry out the electrical verification and make the service decision.

E·02

Roofer / surveyor

Observations on the roof covering are verified by a roofer, and in the case of damage or a dispute, by a surveyor. The report is input for their assessment, not a substitute for it.

E·03

Property manager

Places with no visible defects serve the manager as a reference point: what to check and when at the next inspection or after a weather event.
